The problem

Many businesses send the same document to dozens of people each month — customer notices, staff onboarding forms, equipment handover sheets — with only the details changing.

Filling each copy by hand, or copying and pasting from a spreadsheet, takes minutes per document and invites typos. Scripts and mail-merge add-ons need technical setup and often upload your data.

What PDFPUMA does

  • Start from your own fillable PDF template. PDFPUMA lists its fields and matches them to your spreadsheet's columns automatically.
  • Preview real records before generating, and see every row with a value that won't fit — too long, not one of a list's options, or unsupported characters — with a downloadable error report.
  • Generate one PDF per row, or also combine them into packs: one combined PDF of everything, or one per value of a column (for example per site or per manager).
  • Save the mapping and reuse it next month. Agency names files from your columns and organises the ZIP into folders.

One row is flagged — "Excellent" isn't one of the sheet's condition options — so five completed PDFs go in the ZIP, plus one combined pack per depot for printing. Business numbers the files; Agency names them from your columns, e.g. Riverside-Cafe-CG-10021-handover.pdf, in a folder per depot.

Tips

  • Name spreadsheet columns like the form fields and they're matched automatically.
  • Download the check report, fix the flagged rows in your spreadsheet and run again — nothing is generated from a row that doesn't fit.
  • Flatten documents you send to customers so the answers can't be edited.

Good to know

  • The template needs real fillable form fields. Values are written with a standard font, so non-Latin scripts aren't supported.
  • Typed names in documents aren't verified electronic signatures, and PDFPUMA doesn't issue or accredit certificates — it fills in the template you provide.
